Undergraduate Representation on Administrative Advisory Committees
All UC Davis undergraduate representatives on UCD Administrative Advisory Committees shall be appointed from a pool of applicants forwarded by the ASUCD President in consultation with the ASUCD Campus Affairs Office. All undergraduate student members on all UC Davis Administrative Advisory Committees who seek reappointment shall be subject to the regular application process, unless initial appointments are for more than one year. Should a seat become empty prior to the end of an undergraduate representative's term a replacement shall be recommended by the ASUCD President to the administrator to whom the committee reports.
The ASUCD President shall forward to the Chancellor's office the names of all students to be included in a pool of applicants for a particular UC Davis Administrative Advisory Committee from which undergraduate student members shall be appointed. In forwarding these names, the ASUCD President shall forward one more undergraduate student's name per committee than the number of undergraduate student members on that committee for appointment, with the exception of UC Davis Administrative Advisory Committees with four or more student members in which case the ASUCD President will forward two more undergraduate student's name per committee than the number of undergraduate student members on that committee for appointment. This process may include interviews with applicants to assure effective committee participation and to establish a working relationship with potential student members. Along with the recommendations, ASUCD will forward copies of all applications from undergraduate students and brief comments from the interview committee.
The ASUCD Campus Affairs Office will be responsible for the oversight of all undergraduate student members on all UC Davis Administrative Advisory Committees for attendance, conduct, etc. and may suggest a recommendation of dismissal to the ASUCD President. Following consultation with the committee chair any UC Davis Administrative Advisory Committee undergraduate student member may be removed by the ASUCD President.
ASUCD will be responsible for posting and advertising all undergraduate student positions on all UC Davis Administrative Advisory Committees. The costs incurred for the duplication of flyers, advertisements in the California Aggie and the duplication of supplemental application forms shall be paid for by the UC Davis Chancellor's Office. The Chancellor's Office will approve the flyers, ads, application, etc. before they go to print.
The Campus Union and Recreation Board shall be exempt from this memorandum.
The timetable for the annual application and appointment process will be established by the Chancellor's office, in consultation with the ASUCD President.
The provisions of this Memorandum of Understanding are effective as follows: (a) the oversight processes as described in Section 3, above, will begin with the 1996-7 year, (b) the application, interview, and membership recommendation processes conducted by ASUCD will become effective for the 1997-98 year. The process established by this Memorandum of Understanding shall be reevaluated prior to the 1998-99 application process.
